Improving business processes is paramount for businesses to stay competitive in today’s marketplace. Over the last 10 to 15 years, companies have been forced to improve their business processes because customers are demanding better products and services. Also, new technologies like the Internet are rapidly bringing new capabilities to businesses, thereby raising the competitive bar and the need to improve business processes dramatically.

The BPR approach starts with a clean slate by focusing on a new “ideal” process and putting aside the current processes. In this approach, you start by defining a vision for the future and designing new business processes to realize this vision. Once you have the definition of the “to be” state, you then create a plan of action based on the gap between your current processes, technologies, and structures, and where you want to go. The key questions to ask are:
- What should the process look like?
- What do my customers want it to look like?
- What do other employees want it to look like?
- How do best-in-class companies do it?
- What might we be able to do with the latest technology?
It is then a matter of implementing your ideal solution.

The BPI approach is more gradual and is also called the Continuous Improvement Model. The approach begins by understanding and documenting what you do today (current process), establish some way of measuring the process based on customer requirements, and then identify improvement opportunities based on the data gathered. The process improvements are then implemented and the performance of the new process is measured. This loop is repeated as required to obtain regular and incremental improvement in the overall business process.
This approach is used when the business has been fairly stable over a period of time and the current processes have proven to be effective. The company uses several different software applications and also relies on some manual processes. The technology solutions available to the company have changed significantly and a need is now felt to look at the enterprise as a whole and identify possible areas of process improvement, integration, and automation.
